What's Your Flagship Event?
You may already have an excellent event. One that's run successfully for years and that clients ask for by name. Behind the scenes, it may still run on Excel, WhatsApp, paper and facilitator memory.
Custom Event Software Built Around Your Own Event Format
Customise is quoted to scope instead of sold at a fixed price, because no two flagship events are the same shape. If what you need is scoring, leaderboards and brackets, you do not need a custom build. Buy GamesTally Score at USD 4,000 and keep your money.
- Price
- Quoted to scope. One-off, not per event.
- Starting point
- Your existing event. Not a template you have to bend to fit.
- Typical elements
- Facilitator workflows, photo and evidence submissions, station progress, live results.
- What we leave alone
- Anything that works because a facilitator is standing there being good at their job.
- Branding
- Yours, or your client's.
- Recurring cost
- None.
Excel, WhatsApp, paper, facilitator messages, photos arriving from forty directions, tracking done by hand and totals done twice to be safe.
None of that means the event is bad. It usually means the event grew faster than the admin around it. Customise is about digitising the parts that would make it easier to operate or more engaging to experience, and leaving the rest alone.
A Station-Based Team Challenge
A generic example of the pattern we see most often. Yours will differ, that's rather the point.
How it runs today
- Teams complete stations
- Facilitators track progress by hand
- Scores are collected at the end
- Teams submit photos over WhatsApp
- HQ checks the submissions manually
- Scores are calculated by hand
How it could run
- Teams access their event
- Facilitators manage station progress
- Scores enter directly
- Teams submit challenge photos
- Progress is tracked
- Results are calculated
- Leaderboard updates
- Administrator maintains control
Digitise What Improves The Event.Keep What Already Works.
Not every element needs technology. If a part of your event works because a facilitator is standing there being good at their job, adding a screen to it makes it worse.
“Just send the photo to WhatsApp.”
Sounds simple. It is simple, until forty teams send photos at once and somebody has to work out which blurry image belongs to which challenge, then find it again during the debrief.
Built into the event instead: a team picks the challenge they are answering, uploads against it, and submits. It arrives already labelled. A facilitator approves it and the score moves. Nobody scrolls back through a group chat looking for a picture of a traffic cone.
Available as a customisation, where it is supported by the final build.
Holding attention through the gaps
Every event has dead time, walking between stations, waiting for a rotation, queuing for a briefing. Digital touchpoints can keep teams inside the event during those minutes.
- Progress trackers
- Unlockable challenges
- Bonus challenges
- Digital score updates
- QR interactions
- Live rankings
- Mission completion
- Notifications
Used carefully. The digital layer supports the live event. It shouldn't turn your event into a phone game.
Technology Should Support The Event. Not Get In The Way Of It.
This principle governs the software UI as much as it governs the website. If a feature makes event day harder, it isn't a feature.
Turn Your Game Catalogue Into Digital IP
You've spent years building your games, your event formats, your methodologies and your facilitator processes. Those are assets. A digital layer around them makes them more repeatable, more consistent and considerably harder for a competitor to approximate with a PDF.
We help you digitalise your proprietary offering. We make no claims about legal intellectual property ownership or protection, that's a matter for your own advisers.
What that can be worth
- Strengthen proprietary event formats
- Differentiate pitches
- Create premium versions
- Standardise scoring
- Improve consistency
- Improve scalability
- Reduce administrative work
- Improve presentation
- Make repeated delivery easier
What Makes A Build Cost More, And What Makes It Cost Less
"Quoted to scope" is a phrase that usually means "we will decide later how much you can afford". So here is what actually moves the number, in advance, so you can see roughly where your event sits before you talk to anybody.
What makes it cheaper
- Your rules are already written down. A run sheet, a scoring matrix, a facilitator brief. Anything that means the rules do not have to be reconstructed from memory in a series of calls.
- The scoring behaves like scoring. Points, times, quantities, positions. Familiar shapes, even in an unfamiliar game.
- One screen does most of the work. A single board the room watches, rather than a different view for every role.
- The event is the same every time. Same stations, same flow, different client.
- You start from Score or Judge. Building outward from something that exists costs less than building a shape from nothing.
What makes it more expensive
- The rules live in one person's head. Discovery is real work, and it is work you pay for whether it is on our invoice or in your team's time.
- Scoring changes shape mid-event. A mechanic that unlocks, a multiplier that appears, a round that rewrites what came before.
- Everyone sees something different. Participants, facilitators, the host, the client in the back row, each needing their own view.
- Participants interact directly. The moment the people in the room are using it instead of watching it, everything about it gets more demanding.
- It has to work with something you already run. Anything that has to meet an existing system of yours adds scope on both sides.
The cheapest thing you can do is bring the documents
Most of what a custom build costs is not the building. It is working out precisely what should be built, and that is a conversation whose length depends almost entirely on how clearly the event already exists on paper.
Operators who arrive with a facilitator brief, a scoring sheet and a run sheet get a tighter quote than operators who arrive with an excellent event that has never been written down. Same event, different amount of discovery.
Before you ask for a quote
- How many teams, and how many stations or rounds
- How each one is scored, and how they combine
- Who enters results, and on what device
- What the room sees, and when
- Whose branding is on it
- How many times a year you run it
Six answers. They are most of the quote.
A Custom Build, Stage By Stage
Including what we need from you at each point, because a build that stalls almost always stalls waiting on the operator rather than on the developer.
We take your event apart
Sessions with the people who actually run it, not only the people who sell it. Facilitators know things about your event that nobody has ever written down, and those things are usually the ones that break software.
From you: time with the delivery team, and whatever documents exist.
We scope it and price it in writing
What gets built, what does not, and why. If part of your event should stay on paper we say so here, before it is in a quote, not after.
From you: a decision on the parts we disagree about.
We build it, and you see it early
You look at it while it is still rough, when changing your mind is cheap. Operators who wait for the polished version pay for the polish twice.
From you: someone who will actually open it and click around.
You run it against a real event
Either a live one you are prepared to be brave about, or a full dry run with your own team playing the teams. The dry run finds the things nobody predicted, and there are always some.
From you: a date, and facilitators willing to try to break it.
It is yours
On your branding, and the licence is a one-off in the same way the rest of the range is. It does not become a subscription because it was built to order.
From you: nothing recurring.
Timelines are quoted with the scope. We would rather give you a real date late than a comfortable one early.

Explore CustomiseCommon Questions About Custom Builds
How much does a custom build cost?
It is quoted to scope, and it is one-off, not per event. No two flagship events are the same shape, so a fixed price would either overcharge you or underbuild it.
If what you actually need is scoring, leaderboards and brackets, you do not need a custom build. GamesTally Score is USD 4,000 and it already does that.
What do you need from us to quote it?
How your event runs now. How many teams, how many stations, who enters the results, what happens to them afterwards.
Bring the Excel sheet, the score sheet or the run sheet. Those describe the event more accurately than a brief does.
Will you tell us if something is not worth building?
Yes, including the parts we don't think are worth digitising.
If a part of your event works because a facilitator is standing there being good at their job, adding a screen to it makes it worse.
Do we own what you build?
It is licensed to you as a one-off, the same as the other products, and it carries your branding, not ours.
The specifics of ownership and future changes are agreed in writing at scoping, not assumed here.
Can you build around a game we invented?
That is usually the reason people come to us. An event that clients ask for by name, still held together by Excel, WhatsApp and facilitator memory.
The game stays yours. What changes is that the admin around it stops being manual.
How long does a custom build take?
It depends entirely on scope, and we would rather give you a real answer after seeing the event than a reassuring one now.
What we can say is that we schedule against a specific event date, not an open-ended delivery window.
